ITA* are here to help! We have put together a list of key tips on how to choose your perfect meeting room or conference venue:
1. How many people will be attending?
Your attendee list will be one of the most crucial aspects in determining which venue or space is right for your event.Are you looking for a secluded space for 5-15 people? Consider venues such as Church House Westminster, Royal College of Surgeons or the Little Ship Club. These venues allow the rooms be hired out individually and cater perfectly for smaller occasions such as interviews and presentations, boardroom meetings or used as breakout spaces for a larger event.
Or are you looking for a large room or conference venue? Consider whether you need a lecture theatre so all attendees can easily view the screen or whether you would prefer an assembly hall and raise the speakers on a stage. If you are looking for a large scale venues consider venues such as Haberdashers’ Hall, Clothworkers' Hall, The Law Society or East Wintergarden.
2. Do you require break out spaces? If so, how many?
For larger scale conferences, break out spaces can be extremely important – do you need spaces for smaller workshops and meetings? Would you like your guests to eat in different room? Do you need a green room for storage, staff and key speakers? All worth considering when searching for your perfect venue!
3. What type of technology/ AV do you need?
When booking your conference venue or meeting room, think about what type of technology or AV you will need to host your event, whether it be projectors, screens, mics, laptops, stands or lighting – it is worth asking your venue what they supply and whether they have any contacts to help you. This could save you money, time and stress when it comes to the big day as the venue team will take care of everything for you and you won’t be running around trying to chase down all your suppliers.
As this is a corporate event you will be working with a budget – divide out your budget to include how much you plan to spend on the venue vs catering vs key speakers etc. Order them in list of priority, how important is each aspect to your company’s objectives – this way you can make more informed decisions and don’t end up blowing your budget after spending it all on the latest Mont Blanc pens… unless that’s important to you of course!
